How Wallis Tenders uses account, payment and support information.

Information and purpose

Your account holds your email address, securely hashed password, verification status, preferences, saved opportunities and searches, and alert settings. These are used to provide your requested service and protect your account. Saved work is private to its account; authorised administration can review information when needed for support or security.

Alert records include recipients, matches, delivery outcomes and unsubscribe/review status to prevent duplicates and explain failures. Alerts are optional: turn them off in Account or use the email unsubscribe link. Verification, password recovery and necessary service messages are separate. We do not add you to a marketing list or use tracking pixels in tender emails.

Suggestions and support messages, with any contact details you provide, are used to deal with your enquiry. Signed-in suggestions are linked to your account and are not public.

Payments and providers

Stripe and Link handle subscription payments, tax, receipts and transaction support. We retain payment references, paid periods and payment or refund status to manage membership and billing queries. We do not store full card numbers or card security codes. See Stripe’s privacy information.

Our website hosting, email service and Cloudflare security services process information needed to run the service, including messages, IP addresses, request times and security logs. We use selected public tender information to help you discover work. We do not collect supplier contact lists or private bidding documents.

Account/service processing is needed to provide your requested service under our agreement. Security, diagnosis and support serve our legitimate interests in running a dependable service, balanced against your privacy. Legal duties apply to retained financial records. Providers may process information internationally under their own applicable arrangements.

Cookies

We use necessary login/session and security cookies. A cookie remembers a country you explicitly choose for up to one year. The site includes no advertising or analytics scripts. Hosted Stripe/Link pages explain their own cookies.

Retention and deletion

Cancelling renewal does not delete your account or saved work. Free access and saved records remain unless you request deletion. Use Account → Request account deletion, or email us. Requests are reviewed manually and verified. We remove personal account details, saved work, preferences, linked suggestions and account email history where we can, retaining required payment references and a minimal deletion record. We review records needed for legal duties, billing, disputes or security separately.

Support correspondence is retained while handling the issue and necessary follow-up. Logs rotate; delivery reports cover up to 31 days. Daily application backups keep seven completed copies on each server. Deleted data can remain in restricted backups until rotation; a recovery must honour previously recorded deletion requests. Provider retention can differ.

Your rights

You can ask for access, correction, deletion, restriction, objection or a copy of eligible information. We may need to verify your identity. Contact us first about concerns; you can also complain to the UK Information Commissioner’s Office or your local data protection authority. Material changes to this notice will be published here.
